Privacy policy of the ol-trans.pl website

Our Privacy Policy outlines the principles we follow when collecting, processing, and storing the personal data of users visiting the www.ol-trans.pl website (hereinafter referred to as the Website). It also explains the purposes for which the data is used and the length of time it is retained.

  1. Pursuant to Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 – hereinafter: GDPR – we inform you that the controller of your personal data and the owner of the Website is OL-TRANS Sp. z o.o., based at ul. Łąkowa 3, 86-014 Kruszyn, KRS: 0000729421, NIP: 5542964429, REGON: 380042679 (hereinafter: the Controller).
  2. Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation – GDPR).
  3. We ensure that personal data collected via this Website is processed in compliance with applicable law, with full confidentiality, and using appropriate security measures.
  4. By using the Website, you agree to the terms of this Privacy Policy. If you do not accept the use of cookies or the scope and manner in which your data is processed (e.g., via the contact form), please leave the Website or adjust your browser settings.

Scope and nature of data collected and the purposes of processing

  1. The Website collects two types of user information:
    • data obtained through cookies stored on your computer, tablet, smartphone, or other device you use to browse the Website, and through server logs,
    • data voluntarily provided via contact forms.
  1. Data is collected in the following ways:
    • by entering information into forms, which is then transmitted to the Controller’s system,
    • through cookies stored locally on your device.
  1. Cookies are small text files automatically saved on the user’s device when visiting the Website. Web browsers typically allow these files to be stored and accessed by the server that created them. Users can change these settings to limit or block cookies, which may affect the proper functioning of the Website (e.g., some features may not display correctly). Cookies do not allow direct identification of the user or interfere with the device’s operation, but they help remember user preferences (e.g., language, font size).
  2. Cookies are used for:
    • analysing how users interact with the Website – allowing us to track which subpages are visited, duration of visits, and which features are most used. This enables us to improve the Website and offer content tailored to user interests. We use tools such as Google Analytics, Google Signals (see their privacy policy for details), and Microsoft Clarity (see here for more information),
    • checking the number of views of embedded YouTube videos (YouTube’s privacy policy is available here),
    • personalising ads and measuring their effectiveness via Google Ads (more details on their privacy policy can be found here).

  2. So-called system logs – anonymous data automatically collected by the server (IP address, visit time, browser used, visited URL, possible errors) – are used exclusively for administrative purposes and to ensure the Website functions correctly.
  3. Using the contact form requires providing specific data. Submitting such data is voluntary but necessary for us to handle your inquiry. The required data is as follows:
    • For job application forms: full name, phone number, email address,
    • For inquiry forms: full name, company name, phone number, email address.
  1. If you wish to report any irregularities regarding OL-TRANS’s activities, you may – but are not required to – provide your name, phone number, or email address. Anonymous reports will also be accepted and reviewed; however, in such cases we won’t be able to respond or offer whistleblower protection.
  2. Personal data voluntarily provided via contact forms is used for the following purposes:
    • application form data – to initiate contact regarding recruitment,
    • inquiry form data – for one-time contact and to respond to your commercial inquiry,
    • irregularity report form data – to review the report, collect additional information, and ensure whistleblower protection.
  1. Additionally, if you have given your consent to receive emails, your data will also be processed for:
    • communication purposes – to provide essential information and maintain trustworthy and positive relationships, which constitutes a legitimate interest of the Controller (Art. 6(1)(f) GDPR),
    • promoting the Controller’s own products and/or services, as well as those of its Partners, via electronic marketing communications (newsletters) (Art. 6(1)(a) GDPR),
    • providing access to updates and insights from the industry related to the Controller’s operations (Art. 6(1)(a) GDPR).

Data sharing

  1. The Controller may share your personal data with other entities if it is necessary to perform a contract or fulfil legal obligations.
  2. Data may be disclosed to legally authorised bodies and entities with which we have data processing agreements in place. These partners are required to ensure proper security and confidentiality.
  3. Data is not transferred outside the European Union (i.e., to so-called third countries).

Statistical analysis

  1. User traffic and interactions on the Website are analysed using Google Analytics, Google Signals (Google Inc., USA), and Microsoft Clarity (Microsoft Corporation, USA). These tools use cookies and do not allow personal identification – all data is anonymous and used solely for statistical purposes.
  2. In certain cases, data may be processed automatically (profiling), but only for service delivery or marketing activities.

Data retention period

  1. Data processed based on consent will be stored until such consent is withdrawn. Withdrawing consent does not affect the legality of processing carried out before the withdrawal.
  2. Job application form data is stored until the recruitment process ends or until consent for future recruitment is withdrawn (if previously granted).
  3. Inquiry form data is stored until we respond to your request.
  4. Data related to whistleblower reports is retained for 3 years from the end of the calendar year in which follow-up actions or proceedings were concluded.

Your rights

  1. You may withdraw your consent to data processing at any time. Withdrawal does not affect the legality of prior processing.
    • You have the right to:
    • access your data,
    • rectify your data,
    • delete your data,
    • restrict processing of your data,
    • transfer your data,
    • object to processing based on the legitimate interests of the Controller,
    • withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.
  1. If you believe your rights have been violated, you may lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland).
